Applies to: Businesses with two or more linked locations
Overview
When your account is set up for multiple locations, clients, pets, packages, and bookings can be shared across locations — so your team and your customers have a seamless experience no matter which location they're working from.
For Admin / Staff
1. Search and Access Pets Across Locations
By default, your account is set to share clients and pets across all linked locations. This means:
- You can search for any client or pet from either location's admin view
- You can book customers across locations directly from the daily calendar page
- All customer and pet records are visible regardless of which location you're logged into
Note: This cross-location search is enabled by default. If needed, it can be turned off per location — contact support to adjust this setting.
2. View Package and Booking Details from Other Locations
When viewing a pet's profile, you can see package balances and booking history from all linked locations — not just the one you're currently logged into.
How package credits work across locations:
- Check in a daycare pet as you normally would.
- If no package balance is found at the current location, the system automatically checks the other location.
- If a balance is found there, a confirmation window will appear asking if you'd like to use a credit from the other location.
- Click Yes to deduct from the other location's package.
Everything else works the same — packages can still be set up and purchased at each location independently.
3. Switching Between Locations (Admin)
Admins can switch between locations at any time using the account dropdown in the top navigation.
- Each location has its own login and management view (separate pricing, employee schedules, etc.)
- Each location only sees its own bookings by default
- Switch between locations (e.g., PawsAtPlay and PawsAtPlayWest) from the dropdown at any time
For Pet Parents (Customers)
1. One Login, All Locations
Customers use the same login credentials to access any of your linked locations. There is no need to create a separate account for each location.
2. Switching Locations in the Client Portal
Customers can easily switch between locations from several places in the portal:
- Booking page — shows their current location with an option to switch before booking
- Any other page — a location switcher is accessible site-wide
- Upcoming bookings view — if they have an appointment at a different location, they'll see a prompt to switch to that location's view
3. Alerts for Bookings at Other Locations
If a customer has an upcoming booking at a location other than their currently selected one, the portal will automatically surface a prompt to let them know and switch their view. This helps prevent missed appointments or confusion when a client uses both locations.
