You updated your boarding rates, generated an invoice, and PawsAdmin loaded last year's price anyway. Nothing is broken — there's usually one more step, and it's in a place most people don't think to look. Here's what's happening and how to fix it.
The short version
Adding a price to your boarding price list doesn't automatically put it on an invoice. When PawsAdmin builds a boarding invoice, it looks at the kennel group the pet is staying in, and uses the price that group is linked to. Add a new rate without re-pointing your kennel groups, and they keep using the old one.
Think of it this way: your price list is the menu, and each kennel group has one item circled. Adding a new item to the menu doesn't move anyone's circle.
First, which kind of pricing do you use?
This matters, because the fix is different for each.
- A flat rate per night, or a different rate per kennel type — for example one price for a standard pen and a higher one for a suite. Either way the price is attached directly to the kennel group, because each group can point at its own rate. Follow Flat and kennel-type rates below.
- Pricing by dog size — the kennel group still decides which pricing applies, but the actual amount comes from your size price table, based on the individual dog. Re-pointing the kennel group will not change those amounts. Follow Size-based pricing below.
Not sure? Open Boarding price and look at the Price column. If your rows show dollar amounts, you're on flat or kennel-type rates. If they show "Set at checkout", or you're using the Size column, you're on size-based pricing.
Flat and kennel-type rates
- Add your new rates on the Boarding price page first, if you haven't already. A price has to exist here before it can be chosen anywhere else.
- Go to Boarding capacity (also reachable from Records > Kennels/facility space, or the "Boarding capacity" button at the top of the Boarding price page).
- Scroll to Kennel Groups List. Each group has an Associated Invoice dropdown showing the rate it currently charges.
- Read down that column and check every row. Watch for two things:
- A group showing an old price. That group is still invoicing at last year's rate.
- A group showing "Select an Option". This one is easy to misread. It usually does not mean no price is set. It often means the group is pointed at a price you've since removed from your list — removed prices don't appear in the dropdown, so the box looks empty while invoices quietly keep using that old rate.
- Pick the correct rate from the dropdown, then click Update Invoice Option on that row. Repeat for every group that needs it.
- Generate one invoice for a pet in a group you changed and confirm the nightly rate is what you expect. Worth doing once — if a group was missed, better to find it now than at checkout.
If you charge different rates by kennel type, this is also how you keep those apart: point your suite groups at the suite rate and your standard groups at the standard rate. Groups are independent, so changing one never disturbs another.
Size-based pricing
If you charge by dog size, updating the kennel group won't change what a dog is charged — the amount is looked up per pet from your size prices.
Update the rates in your size price table instead, and check that every size you offer has a current price. A size with no price set is the usual reason one dog invoices differently from the rest.
Your kennel groups still need to point at the right pricing, so it's worth running down the Kennel Groups List as described above too — just know that fixing the link alone won't move the amounts.

Good to know
- Groups are independent. Changing one doesn't touch the others, so a suite or extended-stay group can stay on its own rate while your standard pens move to the new one.
- Already-generated invoices don't change. Anything sitting open keeps the price it was created with. Only new invoices pick up the new rate.
- Your old prices are safe. There's no need to delete last year's rates — just stop pointing at them. Keeping them means your history and past invoices still read correctly.
Pro tip
When you set rates for a new year, do it as one pass: add all the new prices on the Boarding price page, then go straight to Boarding capacity and walk down the Kennel Groups List updating every row. Doing both in one sitting is the difference between a clean rollover and finding a stray old rate in March.
