Want to work with your Sage booking report in Google Sheets instead of Excel? You don't need Excel at all. The report downloads as a .csv file, which Google Sheets opens directly. This guide shows you how to download the report, open it in Google Sheets, and combine several downloads into one sheet to see a full year.
Before you start
- You can download up to 6 months of data at a time.
- To see a full year, download two 6-month reports and combine them (see Step 3).
- You'll need a Google account to use Google Sheets.
Step 1: Download the Sage report
- Log in to PawsAdmin and go to the Sage Report page.
- Choose your start date and end date. The range can be up to 6 months.
- Click Download. A .csv file will save to your computer, usually in your Downloads folder.
Tip: If the file opens in Excel automatically, that's just your computer's default program for .csv files. You can close Excel and continue with the steps below.
Step 2: Open the report in Google Sheets
- Go to sheets.google.com and open a Blank spreadsheet.
- Click File > Import.
- Choose the Upload tab and drag in your downloaded .csv file (or click Browse to find it).
- Under Import location, choose Replace spreadsheet.
- Click Import data.
Your report will appear in the sheet with one row per transaction.
Step 3: Combine several reports into one sheet (for a full year)
To see more than 6 months together, download each date range separately, then add them to the same sheet.
- Import your first file following Step 2 (using Replace spreadsheet).
- Click File > Import > Upload again and choose your second file.
- This time, under Import location, choose Append to current sheet.
- Click Import data.
The second report's rows will be added right below the first. If a second row of column headings (Type, Account Reference, and so on) appears in the middle of your data, right-click that row and choose Delete row.
What's in the report
Each row is one transaction. The columns are:
| Column | Example |
|---|---|
| Type | CR |
| Account Reference | |
| Nominal A/C Ref | |
| Department Code | |
| Date | |
| Reference | |
| Details | |
| Net Amount | |
| Tax Code | |
| Tax Amount | |
| Exchange Rate | |
| Extra Reference | |
| User Name | |
| Project Refn | |
| Cost Code Refn |
Some columns may be blank depending on the transaction.
Helpful tips
- Sort by date: Click the column letter above Date, then choose Data > Sort sheet. Sort A to Z for oldest first.
- Dates look wrong? If a date like 05/11/2026 shows as the wrong month and day, go to File > Settings, set Locale to your country, click Save settings, and import the file again.
-
Add totals: Click an empty cell below the Net Amount column and type
=SUM(, then select the amounts and press Enter. - Filter your data: Choose Data > Create a filter to show only certain dates, tax codes, or accounts.
